Wedding coordination

Month-of & day-of wedding coordination in Utah

You planned the wedding. I’ll run it.

I’m Madison, a wedding coordinator based in Salt Lake City. About six weeks before your wedding I take over every vendor conversation, build the minute-by-minute timeline, run your rehearsal and run the day, so you can stop answering emails and start looking forward to it.

What’s included

What a Utah wedding coordinator handles

A coordinator doesn’t plan the wedding. They make sure the plan actually happens.

Two handoff meetings

We go through every decision, contract and contact, so I know your wedding as well as you do.

Every vendor, confirmed

I check arrival times, load-in windows and what each vendor needs, then become their single point of contact.

A minute-by-minute timeline

Built around your venue’s hard times and the light, then shared with vendors, family and the wedding party.

Walkthrough and rehearsal

I walk the venue the week before, then direct a one-hour rehearsal so everyone knows where to stand and when to walk.

The wedding day

Me and an assistant for up to 10 hours, overseeing setup, ceremony cues, reception flow and the send-off.

The final check

Gifts, cards and personal items go to the person you choose, and I complete a teardown check before leaving.

The florist calls me. The caterer texts me. Your mother finds me. You get to be a guest at your own wedding.
The handoff

When does month-of coordination start?

About six weeks before the wedding. That’s when you stop being the person every vendor contacts, and I start.

  1. Around six weeks out: our first handoff meeting covers vendors, contracts, design, guest count, family dynamics and every open question.
  2. Weeks five and four: I introduce myself to every vendor, confirm details and start the timeline.
  3. The second handoff: we review the draft timeline and settle the last questions together.
  4. The final two weeks: the finished timeline goes to vendors, family and the wedding party, and I chase final confirmations.
  5. Wedding week: venue walkthrough, rehearsal, then the day itself.

You can book month-of coordination as late as four months before the wedding. If your date is sooner, ask anyway.

Day-of coordination

Is day-of coordination really only one day?

Honestly, no, and it shouldn’t be.

“Day-of coordinator” describes what you see: someone running your wedding day. But nobody can run a wedding well if they meet it for the first time that morning. They don’t know which vendor is running late, which relatives need space, or when the venue’s last music cue lands.

My day-of coordination starts about six weeks out because that’s how long it takes to learn a wedding well enough to run it. The name on the invoice is Month-of Coordination. What you’re buying is a wedding day that runs without you.

If a coordinator offers true day-of only, with no meetings, vendor contact or timeline, ask who is confirming vendors and writing the schedule. Usually the answer is you.

Who does what

Coordinator, venue coordinator or planner?

Venue coordinator

Works for the venue. They make sure the building, venue staff and property rules are handled.

Wedding coordinator

Works for you for the final six weeks. They manage your vendors, carry out your plan and run the day.

Wedding planner

Works with you through the engagement and helps make the decisions: budget, venue, vendors and design.

The best partnership

The venue coordinator runs the building, I run the wedding, and nobody has to ask you anything.

If you haven’t booked most vendors yet, partial planning includes coordination plus help with the contracts, vendors and design still ahead. You can also read whether you need a planner if your venue has a coordinator.

Coordination FAQ

Questions about wedding coordination

How much does a wedding coordinator cost in Utah?
My Month-of Coordination collection is $X,XXX for a wedding of up to 200 guests within 60 miles of Salt Lake City. It includes two handoff meetings, vendor management for the final six weeks, a full timeline, the rehearsal, and me plus an assistant for up to 10 hours. A second assistant, extra hours and travel are priced separately. For wider context, see what a wedding planner costs in 2026.
How late can we book month-of coordination?
Up to four months before the wedding is ideal. I’ve pulled off lovely weddings in eight weeks, so if your date is closer, ask.
Do we need a coordinator if our venue has one?
Usually, yes. Your venue coordinator runs the building. They don’t manage your florist, photographer or DJ, cue your ceremony, or keep your timeline. A wedding coordinator does those things and works alongside them.
What do you need from us at the handoff?
Your vendor list and contracts, the decisions you’ve made so far, your guest count and seating plan, and anything you’re worried about. If something is still undecided, we’ll sort it out together at the handoff meetings.
Will you be the one there on the day?
Yes. I never book two weddings on the same weekend. In the rare case I can’t be there, a vetted planner from my small bench, who already has your full timeline, steps in at no extra cost.
How do we hold our date?
A signed agreement and a retainer. The retainer is non-refundable because it takes your date off my calendar. If you need to move your date, I’ll move everything to the new one at no charge, as long as I’m available.
