Planning & Coordination

Salt Lake City wedding planning, with the whole plan on one page

I’m a wedding planner based in Salt Lake City, and I plan weddings across Utah. I handle the spreadsheets, the vendor emails and the 4 p.m. sunset math so you can spend your engagement actually enjoying it. Choose how much help you want. Every collection and every price is below.

Full-service planning

What full-service wedding planning in Utah includes

Full service is for couples who want to hand over the whole engagement. You make the big decisions with me beside you, and I carry everything else from the first venue tour to the last returned rental.

The search

I scout venues with you—up to four site visits—then find, vet and book every vendor you need. There’s no category cap.

The design

A full concept, from palette to tabletop to lighting, with sourcing, mock-ups where they matter, and oversight of the install on the day.

Your guests

RSVPs, hotel blocks, transportation and welcome bags, plus coordination of your stationery, signage and wedding website.

Every contract

I read them all and catch the overtime clauses, rain plans and load-in windows before they become surprises.

The whole weekend

Your rehearsal, rehearsal dinner and morning-after brunch are coordinated too, followed by me and two assistants for up to 12 hours on the wedding day.

The wrap-up

Rentals returned, gifts secured and final payments reconciled while you’re on your honeymoon.

Who it suits: couples with demanding jobs, couples planning from out of state, larger or more design-heavy weddings, and anyone who knows they’d rather make ten good decisions than two hundred small ones. Full service works best booked 10 to 18 months out.

A month-by-month look at full service
Partial planning

When partial wedding planning is the right fit

Partial planning is for couples who have a clear picture of the wedding and have already made some of the big calls—usually the venue and a few key vendors—but don’t want to carry the rest alone.

You stay in the lead. I fill the gaps: sourcing and booking up to five vendor categories, reviewing every contract you sign, and building a full design board with a floor plan and rental list. We have a monthly planning call and you can email me anytime. Six weeks out I become every vendor’s contact, and on the day I run the whole thing with an assistant.

  • You enjoy the planning and want to keep making the decisions yourself.
  • You’ve booked your venue and some vendors, and the rest feels like a lot.
  • You want a professional to check your contracts and timeline before it’s too late to change them.
  • You want a real planner on the day, not a friend with a clipboard.

Partial planning works best booked 6 to 12 months out.

Planning weddings in Salt Lake City and across Utah

Hazel is based in Salt Lake City. Every collection covers a wedding within 60 miles of the city at no extra cost. Beyond that, anywhere in Utah or out of state, travel is quoted separately and I’ll tell you the number before you sign anything.

Because I plan a small number of weddings a year, I know each couple’s venue before the day, not on it. I walk the space with the venue coordinator the week before, and on the day they run the building while I run the wedding.

Planning from out of state? I’ll go to the tastings, walkthroughs and mock-ups for you and send back photos and notes, so you can make decisions from wherever you are.

Every collection

What comes standard, whichever you choose.

  • i.A shared planning portal with your timeline, budget, checklists and vendor contacts in one place.
  • ii.A real budget conversation. I’ll tell you where money disappears in a wedding and where it actually shows.
  • iii.Vendor relationships. I only recommend people I would hire for my own family, and I tell you why.
  • iv.A timeline built around the light. Your portraits get scheduled first, in the good light, and everything else flexes around them.

The planning arc

What the year looks like together.

A typical full-service or partial timeline. Shorter engagements are welcome; the arc just gets compressed.

Foundation

12+ months. Budget, guest count, priorities, venue. We lock the two or three decisions everything else depends on.

Team

8–12 months. Photography, catering, florals, music. The vendors who book out first get booked first.

Design

5–8 months. Palette, tabletop, paper, lighting. Mock-ups where they matter. Rentals ordered.

Details

2–5 months. Invitations out, RSVPs in, timeline drafted, hair and makeup trials, tastings, transportation.

Handoff

6 weeks to the day. I take over every vendor conversation. You stop answering emails and start looking forward to it.

Planning FAQ

Questions couples ask me.

More FAQs
What does a Salt Lake City wedding planner actually do?
It depends on the collection, but the core job is the same: help you make good decisions early, manage the vendors who carry them out, and run the day so nobody has to ask you anything. Full service covers the whole engagement. Partial planning covers the gaps you haven’t filled. Coordination covers the last six weeks and the day.
Is full-service planning worth it if we’ve already booked our venue?
Often, yes. Most couples come to me with a venue booked. Full service is about how much of the rest you want to hand over, not where you’re starting from. If you’ve already booked most of your vendors, partial planning is usually the better fit.
What’s the difference between a planner and a coordinator?
A planner helps you make the decisions: budget, vendors, design, logistics, over months. A coordinator carries out decisions you’ve already made, starting roughly six weeks out and running through the wedding day. Partial and Full Service include both; Month-of Coordination is just the second half.
Do we need a planner if our venue has a coordinator?
Venue coordinators are wonderful, and they work for the venue. They make sure the building runs; they don’t manage your florist, cue your processional, fix your bustle or keep your timeline. It is a different job. On the day you want someone whose only client is you. I wrote more about this.
Can we start with The Blueprint and upgrade later?
Yes, and couples do this often. Your Blueprint fee is credited in full toward Partial or Full Service if you upgrade at least four months before the wedding, subject to availability.
How many weddings do you take?
I cap full-service and partial planning at a small number each year and never book two weddings on the same weekend. When you hire me, you get me, not a rotating team.
Do you plan weddings outside Utah?
Happily. Travel is quoted separately and I’m transparent about it up front. Destination planning usually works best as Full Service, since I handle the vendor search from a distance.
What does the payment schedule look like?
A retainer reserves your date. The balance is split into equal payments, with the final one due 30 days before the wedding. Add-ons booked later are invoiced as they’re added.

Tell me about the day you’re imagining.

Share your date, your guest count and what matters most. I’ll come back with honest thoughts on which collection fits.
